  5. How to Migrate to...

Sometimes it may be time to move on to a new email address. This may be because your old one is no longer appropriate or maybe you just need to move on from your old university email address to a more permanent one.

It’s a common misconception that migrating to a brand new email address is difficult and complicated to do, especially when you want to keep some of the emails that you have on your old email address.

As leading Business IT Support in London, the Tristar team know that this is most definitely not the case. Email migration can be a quick and easy process, especially when you know what you need to do to make the transition as smooth and stress free as possible. Here is our expert advice on how to move your old email to a new address.

Set Up the New Account

When looking for a new email provider for the email that you will be migrating to, it’s important to ensure that the provider is stable and won’t be going anywhere soon.

This could be either Google or Outlook or another major email provider which isn’t going to disappear within the next few years.

You will also need to put a great deal of thought into the name that you will be using for your email address. This should be something that represents the level of professionalism you are aiming for, so it’s very common for emails to contain the name of the person who owns the email account.

Try to avoid using numbers if possible as this isn’t very professional and you want to be sure that the name will stay relevant for years to come.

Import Your Old Emails

Most major providers will have the option to import emails from another email account using POP3 access.

There are various different guides available for how to do this for the different email providers such as Gmail and Outlook.com but it is a fairly easy process.

This ensures that all your emails from your previous address will get forwarded to your new address so that you can access them.

For some people who have thousands of emails, this may take some time to receive all your old mail, but it will come through if you follow the forwarding instructions set out by the email providers.

Forward Mail to Your New Address

Forwarding all mail that goes to your old address to arrive in your new inbox is an easy way to continue receiving mail from people who may not be aware of your email change.

Again, this may differ within each email provider, but there will be some form of forwarding support available within the settings of your old email account. However, the only information that you should need for this part is the email address of your new account.

You will need to set up forwarding on your old account to send the mail on to your new account- not the other way around.

Email migration doesn’t have to be a long winded process, especially when there isn’t much that you need to do. The longest part of changing email comes later when you are updating all your online accounts and contact details to your new address, but the actual migration itself can be done in just a few hours.
