Score your business honestly against each line; this isn’t about getting full marks, it’s about seeing where the gaps actually are.
- Documented process: Is there a written joiner/mover/leaver checklist, or does it live in someone’s memory?
- Single source of truth: Does IT get notified automatically when someone joins, changes roles, or leaves, or do they find out informally, sometimes late?
- Access review: Is anyone regularly checking who has access to what, or does access just accumulate over time?
- License hygiene: When someone leaves, is their software license reassigned or cancelled, or does it sit there, paid for and unused?
- Time to offboard: If someone left today, how long before all their access was actually switched off? Hours? Days? Longer?
- Single point of failure: If the person who normally handles this process was unavailable, would the process still happen properly?
If most of those answers are “not sure,” you’re in good company; it’s one of the most common gaps we see, precisely because none of it fails loudly. It just quietly costs money and creates risk in the background.
